STEP 01

Log In for the First Time

1

Go to the Contractor Portal

Navigate to krewwestpm.com and click "The Crew" in the top navigation. Select "Maintenance Crew" to reach the login page.

2

Enter your credentials

Use the email address and temporary password provided by Krew West. Click "Sign In" to access your dashboard.

3

Bookmark the page

Save krewwestpm.com/maintenance/app to your phone's home screen for quick access. On iPhone: tap Share → Add to Home Screen. On Android: tap the menu → Add to Home Screen.

Pro tip: Having trouble logging in? Contact your Krew West admin to verify your account is active.

STEP 02

Set Up Your Profile & Payment Link

1

Open your Profile tab

Once logged in, tap the "Profile" tab at the bottom of the screen (or in the navigation). This is where all your personal and payment settings live.

2

Add your phone number

Enter your mobile number so admins can reach you directly and so you receive SMS notifications when jobs are assigned.

3

Add your Square or QuickBooks payment link

In the "Payment Link" field, paste your Square payment link (e.g. square.link/yourname) or your QuickBooks invoice link. This is the link Krew West will use to pay you once a payment request is approved. You must add this before submitting your first payment request.

4

Save your profile

Tap "Save Changes" to confirm. Your payment link is now on file and will appear on every approved payment request.

Pro tip: To get your Square payment link: open the Square app → tap "More" → "Payment Links" → create a link. Copy and paste the full URL into your profile.

STEP 03

Enable Push Notifications

1

Turn on notifications in your Profile

In the Profile tab, find the "Push Notifications" toggle and switch it on. Your browser will ask for permission — tap "Allow".

2

What you'll be notified about

You'll receive instant alerts when: a new job is assigned to you, a job deadline is approaching, an admin sends you a message, or a payment request is approved or rejected.

3

Keep the app open in your browser

For best results on mobile, add the portal to your home screen (see Step 1). Push notifications work most reliably when the app is installed as a PWA.

Pro tip: If you miss a notification, all job assignments and messages are always visible inside the portal under "My Jobs" and "Messages".

STEP 04

Accept a Job

1

Review available jobs

Admins may assign jobs directly to you, or you may see unassigned jobs in the queue. Open the "My Jobs" tab to see everything assigned to your account.

2

Read the job details

Tap any job card to view the full details: job number (e.g. KW-0023), property name and address, tenant contact info, scheduled date, priority level, and any notes from the admin.

3

Accept the job

Tap "Start Job" on the job card to confirm you're taking it. The job status will update to "In Progress" and the admin will be notified.

4

Note your job number

Every job has a unique KW-XXXX number shown at the top of the job card. Write this down or remember it — you'll need it when submitting your payment request.

Pro tip: Jobs are color-coded by priority: red = urgent, orange = high, yellow = medium, green = low. Urgent jobs should be acknowledged within 2 hours.

STEP 05

Check Your Assignment Email

1

Look for the assignment email

When a job is assigned to you, you'll receive an email to the address on your account. The subject line will include the job number and title (e.g. "Job Assigned: KW-0023 — HVAC Filter Replacement").

2

What's in the email

The email contains: your KW-XXXX job number badge, the job title and priority level, the scheduled date, the full property address, tenant name with tap-to-call and tap-to-email links, and a direct link to submit your payment request when the job is complete.

3

Save the email

Keep this email — it contains everything you need for the job and a direct link to the payment request form. You can also access the payment request from inside the portal.

Pro tip: Check your spam folder if you don't see the email within a few minutes of accepting a job. Add noreply@krewwestpm.com to your contacts to prevent this.

STEP 06

Add the Job to Your Calendar

1

Use the Google Calendar button in your email

Your assignment email includes a "Add to Google Calendar" button. Tap it to instantly create a calendar event with the job title, address, and scheduled time pre-filled.

2

What the calendar event includes

The event will show: the job number and title, the property address (tap for directions), the scheduled date and time, and a link back to the job in the portal.

3

Set a reminder

Once the event is in your calendar, add a reminder for 1 hour before the job so you have time to prepare tools and materials.

Pro tip: Use Google Maps or Apple Maps from the calendar event to get turn-by-turn directions to the property on the day of the job.

STEP 07

Complete the Job & Mark It Done

1

Do the work

Complete the job at the property. If you encounter any issues — damage, access problems, or scope changes — use the portal's messaging feature to notify your admin immediately.

2

Mark the job complete

In the "My Jobs" tab, find the job and tap "Mark Complete". This notifies the admin that the work is done and unlocks the "Request Payment" button.

3

Use your KW-XXXX job number

Your job number (e.g. KW-0023) is your reference for everything. It appears on the job card, in your email, and on your payment request. Always reference it when communicating with admins about a specific job.

Pro tip: Take photos of your completed work before leaving the property. You can attach them to your payment request as proof of completion.

STEP 08

Submit a Payment Request

1

Tap "Request Payment" on the job card

After marking a job complete, the "Request Payment" button appears on the job card in your "My Jobs" tab. You can also use the direct link from your assignment email.

2

Fill out the payment form

Enter: your labor hours worked, your hourly rate, any parts or materials costs (with receipts if available), and any additional notes about the work performed.

3

Attach photos and receipts

Upload photos of the completed work and any receipts for parts purchased. This speeds up admin approval and protects you if there are any questions.

4

Submit the request

Tap "Submit Payment Request". The admin will be notified immediately. Your request will show as "Pending" until reviewed.

Pro tip: Your KW-XXXX job number is automatically attached to your payment request — you don't need to enter it manually. The admin sees it alongside your request.

STEP 09

Get Paid

1

Admin reviews your request

A Krew West admin will review your payment request, verify the work, and either approve or request changes. You'll receive a notification and email either way.

2

Payment is sent via your saved link

When approved, the admin uses your Square or QuickBooks payment link (saved in your profile) to send payment directly. You'll receive a notification that your request has been approved.

3

Confirm receipt

Once you receive payment in your Square or QuickBooks account, the transaction is complete. The job will be marked as "Paid" in the portal.

4

If your request is rejected

If the admin rejects a request, you'll receive a notification with the reason. You can update and resubmit from the "My Jobs" tab.

Pro tip: Payment is typically processed within 1–3 business days of approval. Make sure your Square or QuickBooks account is set up to receive payments before submitting your first request.

You're all set!
