How to install the app on your phone and use every feature
The Krew West Cleaners Portal has been upgraded with a full set of mobile-first tools designed to make your workday smoother. You can now track job status in real time, upload photos, report damage, flag maintenance issues, and message the admin team — all from your phone.
The portal also works as an installable app on your phone's home screen, so you don't need to remember a web address or open a browser every time.
The Cleaners Portal is a Progressive Web App (PWA). That means you install it directly from your browser — no App Store, no Google Play, no downloads required. It works just like a regular app once installed.
Open your phone's browser and go to:
Once installed, tap the Krew Cleaners icon on your home screen to open the app. It will open full-screen without any browser bars — just like a regular app. Log in with your usual email and password.
Use the home screen icon if you installed it, or type the address into Safari/Chrome.
These are the same credentials you've always used. Contact the admin if you've forgotten your password.
The portal shows your assigned jobs for today and upcoming dates right away.
Here's a quick look at everything available in the portal:
See all jobs assigned to you — today's cleans and upcoming ones. Tap any job to open its detail view.
Browse unassigned jobs for your properties. Tap "Accept" to claim a job — first cleaner to accept gets it.
Each job has a property-specific checklist. Check off items as you go. You must complete the checklist before marking a job done.
Upload photos directly from your phone camera. Document your work, flag issues, or capture before/after shots.
Found something broken or damaged? Submit a damage report with a description, severity level, and optional photo.
Flag something that needs fixing — a leaky faucet, broken appliance, etc. Set the priority level so admin knows what's urgent.
See what supplies are needed for each job. Mark items as obtained so admin knows what's been handled.
Send and receive messages from the admin team. Job-specific messages keep communication organized by property.
View your schedule in a monthly or weekly calendar. See all your upcoming cleans at a glance.
Update your contact info and notification preferences. Control when and how you receive alerts.
Every cleaning job moves through a series of statuses. Here's the complete workflow from accepting a job all the way through submitting your invoice to management:
Find the job in Available Tasks or check if it's already in My Cleans. Tap Accept to claim it — the job moves to Accepted status and is locked to you. If you accepted by mistake, tap Unaccept to release it back to the pool.
Right after you accept, you'll receive a confirmation email at your registered address. The email includes the property name, address, date, and time. Tap the "+ Add to Google Calendar" button in the email to save the job to your calendar so you don't miss it.
Open the job in the app (tap it in My Cleans) and read the Property Notes section — the amber box near the top. It contains property-specific instructions from admin such as lockbox codes, parking notes, and special cleaning requirements. Read this before you leave for the property.
When you arrive at the property, open the job and tap Start Clean. This records your start time and moves the job to In Progress.
Tap the Checklist tab and check off each item as you complete it. The progress bar shows how far along you are. You cannot mark the job complete until every checklist item is checked.
Tap the Photos tab and tap Add Photo to take pictures or choose from your camera roll. Document each room when you finish — this protects you and the property if a guest disputes the condition.
If you find something broken or damaged, use the Damage tab to submit a report. For things that need repair (leaky faucet, broken appliance, etc.), use the Maintenance tab. Both go directly to admin.
Each property has a Google Form that must be completed before you finish. Tap the "Fill Out Property Form" button in the job detail — it opens the form for that specific property. Fill in all required fields (condition notes, supply levels, any observations) and submit it. This form goes directly to management and is part of your job record.
If the property requires admin sign-off before being marked complete, tap Ready for Inspection. Admin will review and finalize. If no inspection is needed, skip to the next step.
Once the checklist is fully checked off, tap Mark Complete. The job moves to Completed status. You'll receive a daily recap email summarizing your completed work for the day.
After completing your jobs, create an invoice for your work and send it to management for payment. Include the property name, date of service, and your agreed rate. Send your invoice to the admin team via the Messages feature in the app, or directly by email. See Part 5 — Invoicing below for what to include.
Once you've completed your jobs, you are responsible for submitting an invoice to management for payment. Invoices should be sent promptly — ideally the same day or within 24 hours of completing your work.
You have two options for submitting your invoice to management:
Tap the Messages icon in the bottom navigation. Tap New Message, attach your invoice (photo or PDF), and send it to admin. This keeps everything in one place and creates a record in the portal.
Email your invoice directly to the admin team. If you're unsure of the correct email address, ask admin through the Messages feature or check your job acceptance email for the reply-to address.
Use this when you find something that was broken, stained, or damaged by a guest.
Use this for things that need to be fixed but aren't guest-caused damage — a dripping faucet, a light bulb out, a broken drawer, etc.
The Messages screen lets you communicate directly with the admin team. Messages can be general or tied to a specific job.
When you install the app and allow notifications, you'll receive alerts for:
Double-check your email and password. If you've forgotten your password, contact the admin team to reset it. Do not create a new account.
Pull down to refresh the screen. If jobs are still missing, your property access may need to be updated — contact admin.
Make sure you're using Safari, not Chrome or another browser. The option only appears in Safari on iPhone.
Contact admin right away. They can update the job status from the Admin Portal.
The "Fill Out Property Form" button only appears for properties that have a Google Form set up. If you don't see it, contact admin — they may need to add the form link for that property.
Confirm your invoice was received by checking the Messages thread or asking admin directly. Make sure your invoice included the property name, service date, and your payment details.
Check your internet connection. Large photos may take a moment. If the upload fails, try again on Wi-Fi.
Check your spam/junk folder. Add str@krewwest.com to your contacts so emails don't get filtered.
Reach out to the Krew West admin team directly. For non-urgent questions, use the Messages feature in the app. For urgent matters, contact admin by phone or text.
